How to Share a Web Whiteboard and Collaborate in Real Time

Updated

Click the "share board" button in the top right corner of the screen, then send the board link to anyone you want to work with. They can open the board for free without signing up, and once inside they get the same editing rights as you — so everyone can draw, type, and move content together in real time. This works for quick sessions, but the board only lasts 24 hours unless you save or export it.

Step-by-step: sharing a board

  1. Open your board at webwhiteboard.com.
  2. Click the "share board" button in the top right corner.
  3. Copy the board link that appears.
  4. Send the link to co-workers, colleagues, or students through any channel you like.

Expected result: anyone with the link lands directly on your board and can start contributing immediately.

What collaborators can do

Once someone opens your shared link, they are not a limited viewer. According to Web Whiteboard's own guidance, they have the same editing rights as the board creator.

Action Available to anyone with the link?
Draw and edit board contents Yes
Collaborate in real time Yes
Export the board as JPG or PDF Yes
Access without signing up Yes

This is convenient for spontaneous brainstorming, but it also means you should only share the link with people you trust to edit the board.

Saving and exporting so your work survives

The key limitation to plan around: Web Whiteboard boards are available for 24 hours. If you don't save or export a board, it is permanently deleted after that window.

To keep your work:

  • Export it — click the "Export this board" icon next to the Web Whiteboard name in the upper left corner, then choose JPG or PDF.
  • Save it — sign up for the free Miro Plan, log in, and save your work. Registered Miro users can click "Save to my boards" at the center top of the screen.

Exporting is also how you create an identical copy of a board, since you can download it as an image or PDF.

When you need more control

Sharing a link gives everyone equal edit rights, with no way to manage permissions. If you want to invite people to a project and manage their edit rights, or you need more whiteboard functionality, Web Whiteboard points you to signing up for the free Miro Plan.

Common snags

  • Board disappeared after a day — it wasn't saved or exported within the 24-hour window. Export first, or sign up and save.
  • Need to limit who can edit — link sharing can't do this; move to a Miro Plan for permission management.
  • Want a permanent copy — export as JPG or PDF before the board expires.
